Compliance software for Chauffeur and Limo companies

Chauffeur driver compliance software showing document upload in the chauffeur app and document approval on the CDS chauffeur screen
Drivers upload their documents in the chauffeur app, and CDS shows your team the copy held in your system alongside the copy the chauffeur has uploaded, ready to approve or reject.

Chauffeur Driver Compliance Software: Every Document Current, Across Your Fleet and Your Network

Ask any operator running more than a handful of chauffeurs where compliance lives, and the honest answer is often that it is in several places at once. A folder of scanned licences, a wall planner with renewal dates, a conversation with a driver at the end of a shift. Each of those works perfectly well on its own, however the difficulty arrives when the operation grows, when partners come into the picture, and when a corporate client asks to see the evidence before signing a contract.

Chauffeur driver compliance software exists to bring those threads together. In CDS, it is not a separate module sitting beside the operation. It is built into the places where the work already happens, from the chauffeur app in the driver's hand to the partner network you have spent years building.

What chauffeur driver compliance software needs to do

For a premium operator, compliance covers more than just a licence check. On any given day you are holding a record of who is authorised to drive, which vehicle is certified, what insurance is in force, and which local authority permissions apply. In CDS, the chauffeur management screen brings these together across the document types that matter most:

  • Chauffeur image
  • Vehicle image
  • Insurance
  • Driver licence
  • Local authority driver licence
  • Local authority operator licence
  • Vehicle test certificate

Beyond that core set, any document type can be stored against a driver record or a partner record, so operators working to their own standards or to a particular client's requirements have room to hold what they need.

Capture at source, through the chauffeur app

The strongest compliance records are the ones that update themselves. Once a chauffeur signs up to the CDS chauffeur app, they upload their own documents, images and vehicle paperwork directly. The office is no longer the collection point for every renewal. The driver holds the current copy, and the system knows about it as soon as it arrives.

The app is available on iOS and Android, with a web app option for drivers who would rather not install anything, so there is no practical barrier to getting the whole roster onto the same footing.

The part that makes the difference: matched, then approved

This is where CDS goes further than a document store, and it is worth understanding properly because it changes what the record means.

For every document type, the chauffeur management screen shows whether the document held in your CDS record matches the document the driver has in the app. When a chauffeur uploads a new copy, the system highlights that the two no longer agree. Your team then opens the uploaded document to decide either to:

  • Approve. The document is copied straight into the driver record in CDS, and your system is current.
  • Reject. The chauffeur is told that a new copy is needed, and the request goes back to them without anyone having to chase it by phone.

The result is a record that has been looked at by a person and accepted, rather than a file that happens to be sitting in a folder. For an operator answering to a corporate client, that distinction matters.

It also keeps the driver in the loop. A rejected document comes back with a clear signal that something further is needed, which is a far better experience for the chauffeur than discovering a problem on the morning of a job.

Expiry warnings, timed to the document

Renewal dates rarely arrive at a convenient moment, and different documents need different amounts of notice. A licensing renewal involves an authority and a waiting list, whereas vehicle test can usually be arranged more quickly.

CDS reflects that by displaying expiring documents on the home screen of the system, with the warning period set according to the document type. Licensing gives you eight weeks of notice, and vehicle testing gives you four. The timings are built around how long each renewal realistically takes, so the warning arrives when it is genuinely useful rather than on a single generic countdown.

Licence details and expiry dates sit directly in the chauffeur record, a refinement introduced in our Spring 2026 platform update, so licensing information lives alongside the rest of the driver profile rather than in a system of its own.

Compliance across your partner network

For operators who grow through partners, compliance cannot stop at the edge of your own fleet. CDS Connect is our networking feature, and it takes a deliberately different approach from an open job pool.

  • You build your own curated network. You choose who joins it and who is offered each piece of work, so vetting is an active decision made by your team.
  • You can view a partner company's compliance documentation, giving you sight of the standards of the businesses you work alongside.
  • Every CDS operator can produce a Request for Information pack, so a partner has a clean way to present their credentials when you ask, in exactly the format you would use yourself.
  • The job owner retains administrative ownership throughout, so the client relationship and the standards attached to it stay with the company that holds them.
  • Partners already running CDS receive work directly on their dashboard, with progress updating on both sides as it happens.
  • CDS Connect is part of the standard suite, with no commission taken on shared work.

Individual driver records remain with the partner company that employs them, which is where the responsibility properly sits. What you gain is confidence in the company you are working with, and a network built on relationships you have chosen rather than availability you have accepted.

Vehicle condition, checked daily

Documents tell you what is permitted. Daily checks tell you what is happening. The driver log walks a chauffeur through a full vehicle inspection at the start and end of every shift, covering roadworthiness, client requests and fitness to drive.

  • Vehicle checklists deliver to the chauffeur app, and any issue that a driver reports raises an alert in the home screen notifications panel so the office sees it straight away.
  • Walk-around photo upload creates a dated visual record that supports due diligence and reinforces driver responsibility.
  • Photographic post-trip records feed maintenance planning and keep fleet condition visible over time.

Turning compliance into something you can present

Most compliance functionality faces inward and reassures the operator. The more valuable question for a growing business is what you can put in front of a client, particularly when you are bidding for corporate work.

When a corporate client asks to see the compliance documentation behind your company, CDS produces a Request for Information pack as a PDF, drawn from the records already held in your system, at the click of a button. No assembling folders the night before a deadline, and no gaps discovered while you are putting it together.

This is the point where every approved document earns its keep. The work your team did accepting each licence and certificate turns into a single, complete answer to the question a corporate booker always asks.

Alongside it, CO2 footprint can be logged for each journey and reported to the client, which increasingly appears as a line item in corporate tenders. Together they turn an internal discipline into a commercial asset. You are no longer describing your standards, you are showing them.

Handled properly behind the scenes

Compliance records contain personal data, and how they are held matters as much as what they contain. All CDS data sits on Microsoft Azure servers, with nothing stored on the device itself, so no trace is left on a driver's phone or an office machine. Two-way number masking protects both client and driver privacy, short address codes conceal personal passenger details across invoices and outgoing communications, and payment card storage is SCA compliant. You can read more on our security and telephony page.

For operators working across borders, requirements differ by country, city and licensing authority. The cloud-based CDS platform supports multiple bases or companies on one dashboard view, with multi-currency pricing and invoicing and a multi-lingual interface so partners and drivers work in their own language.

Compliance as part of the platform, not an addition to it

The distinction we would draw is a simple one, compliance in CDS is included in the standard suite. Every operator has it from the first day, with no contract and no hidden charges. Because keeping documents current is not an advanced requirement for a chauffeur business, it is the foundation the rest of the operation is built on.

Everything described here already sits in the platform our clients use daily, and it continues to develop in response to what operators tell us they need.

See it properly. Book a demonstration and we will walk you through the chauffeur management screen, the document approval workflow, the Request for Information pack and how compliance travels across a CDS Connect network, using examples from your own operation.
